Privacy Policy
Effective date: October, 21, 2026
Gragg Accounting & Tax ("we," "us," or "our") is a tax and accounting practice owned and operated by Brandon Gragg, CPA. Clients trust us with some of their most sensitive information, and we take that responsibility seriously. This policy explains what information we collect through our website and in the course of our work, how we use it, who we share it with, and how we protect it.
Information We Collect
We collect only the information we need to provide our services or that the law requires.
Information you give us through the website, such as your name, email address, phone number, and message when you use our contact form or email us.
Information you provide as a client, such as Social Security or tax ID numbers, income and expense records, bank and financial statements, prior tax returns, payroll records, and, for aviation clients, aircraft ownership, usage, and operating records.
Payment information when you pay an invoice. Payments are processed by PayPal, and we do not receive or store your full card or bank account numbers.
Website usage information, such as pages visited, browser type, and general location, collected automatically through cookies and analytics (see below).
How We Use Information
We use your information to:
Prepare and file tax returns and provide accounting, bookkeeping, and advisory services
Respond to your questions and communicate with you about your engagement
Send invoices and process payments
Meet our legal, regulatory, and professional obligations
Understand how visitors use our website so we can improve it
We do not sell, rent, or trade your personal information, and we do not use it for marketing by anyone else.
Service Providers and Sharing
We rely on a small number of trusted technology providers to run the practice. Each one receives only the information needed for its function and is bound by its own security and privacy commitments.
Intuit QuickBooks – Bookkeeping, accounting records, and financial reporting
Microsoft OneDrive – Secure storage and sharing of client documents
Microsoft Outlook – Email communication
Adobe Acrobat Sign – Electronic signatures on engagement letters, tax forms, and other documents
PayPal – Invoicing and payment processing
Lacerte Tax and Intuit Link – Preparing and e-filing tax returns, and secure client document uploads
Squarespace – Hosting our website and contact form
Beyond these providers, we share your information only:
With the IRS and state tax agencies when filing returns or responding to notices on your behalf
With third parties you authorize in writing, such as your attorney, lender, or financial advisor
When required by law, subpoena, or court order, or by the rules of our state board of accountancy
Confidentiality of Tax Return Information
As a tax return preparer, we are subject to Section 7216 of the Internal Revenue Code, which restricts how tax return information may be used or disclosed. We will not use or disclose your tax return information for any purpose other than preparing your return unless the law permits it or you give us written consent. As a CPA, Brandon Gragg is also bound by professional rules of client confidentiality.
How We Protect Information
We maintain a written information security plan as required by the FTC Safeguards Rule. Our safeguards include:
Multi-factor authentication on the accounts we use to store and access client data
Encrypted, access-controlled cloud storage for client documents
Secure file-sharing links rather than email attachments for sensitive documents
Access limited to Brandon Gragg; as a sole practitioner, no staff have access to client information
Password-protected devices with current security updates
Standard email is not fully secure. Please do not send Social Security numbers, bank account numbers, or tax documents by regular email. We are happy to send you a secure upload link instead.
No method of transmission or storage is completely secure, but we work to protect your information using measures appropriate to its sensitivity.
Website Cookies and Analytics
Our website is hosted by Squarespace, which uses cookies and similar technologies to keep the site running and to provide us with general visitor statistics, such as page views and traffic sources. This information is not used to identify you personally. You can block or delete cookies through your browser settings, though some site features may not work as intended.
Our website may link to other sites, such as the IRS or PayPal. We are not responsible for the privacy practices of those sites.
Record Retention
We keep client records for as long as needed to provide our services and to meet legal and professional requirements, generally seven (7) years after the related tax year or engagement ends. After that, records are securely deleted or destroyed.
Children's Privacy
Our website is not directed to children under 13, and we do not knowingly collect personal information from them through the site. Information about minor dependents is collected only from their parents or guardians as part of preparing a tax return.
Changes to this Policy
We may update this policy from time to time. The effective date at the top of this page shows when it was last revised.
